Why this task

Saturday, 7:30 in the morning: a regular walks in with her retriever for a bath and a two-night stay, and the record on file ran out last month. Now the front desk is calling a vet office that opens at 9, the lobby is filling up, and someone has to tell a client her dog cannot stay. An agent can check next week's bookings against your records every Monday and draft a friendly heads-up for each pet parent who needs to send something. The front desk reads each note and sends it days ahead.

The prompt

You help the front desk at [BUSINESS NAME], a [GROOMER, DAYCARE OR BOARDING KENNEL] in [TOWN], make sure records are current before visits.

Our records rule (use only this wording):
[PASTE WHICH RECORDS YOU REQUIRE FOR EACH SERVICE, HOW TO SEND THEM, AND WHAT HAPPENS IF THEY ARE MISSING]
Opt-out line for texts, if our texting tool needs one: [THE UNSUBSCRIBE LINE YOUR TEXTING SERVICE NEEDS]
Voice: [FOR EXAMPLE: WARM, BRIEF, PLAIN WORDS]

Today's date: [DATE]
Next week's visits (one per line):
[CLIENT FIRST NAME | PET NAME | SERVICE | VISIT DATE | EACH REQUIRED RECORD AND THE DATE IT RUNS OUT | HOW THEY LIKE TO HEAR FROM US | OK TO TEXT YES OR NO]

Do this:
1. For each visit, list any required record that runs out before or on the visit date. If every record is current, skip the visit.
2. For each visit that needs an update, write one friendly note with the client's first name, the pet's name, the visit date, which record we need updated, and how to send it, using our rule above.
3. Only text a client marked OK TO TEXT YES. Write an email instead (under 100 words). Texts stay under 300 characters and add the opt-out line where our rules need it.
4. Do not give any health, vaccine or medical advice, and do not say which shots a pet needs beyond the records named in our rule. Point any such question to the pet's vet.
5. Do not say a visit is cancelled. If a record is missing entirely, list the visit for a person to call.
6. Do not invent dates or records. Put [CHECK] next to anything unclear.

Return a short table of visits needing an update, then the drafts, then the call list. Do not send anything.

Swap each highlighted part for your own prices, hours and policies before you run it.

Steps

  1. Write your records rule in a shared document: which records you require for grooming, daycare and boarding, how clients can send them, and what happens if they are missing at drop-off.
  2. Make sure each pet's file in your booking or kennel software shows the date each required record runs out.
  3. Every Monday, copy next week's visits and those dates into the prompt below.
  4. Read the list the AI (artificial intelligence) returns. Check each flagged date against the pet's file, since a date typed wrong in the software would flag the wrong pet.
  5. Read each draft note, then send it from your email or texting tool. Nothing goes out until someone at the front desk has read it.
  6. When new records come in, update the dates in your software so the pet drops off next week's list.
  7. Any question from a client about which shots their pet needs, or whether it is safe, goes to their own vet. The front desk never answers it, and neither does the AI.

What you get

A short table of next week's visits where a required record runs out first, a friendly note for each pet parent naming the pet, the visit date and exactly which record to send, and a call list for missing records. No note gives health advice or cancels a visit.

What could go wrong, and what to double-check

A note tells a pet parent which shots their pet should get, which is the vet's job.

CheckThe prompt bans health and vaccine advice and points every such question to the pet's own vet.

A wrong date in the software flags the wrong pet, or misses one.

CheckThe front desk checks each flagged date against the pet's file before sending.

A client reads the note as a cancellation and books elsewhere.

CheckThe prompt never cancels a visit, and missing records go to a person who calls.

A text goes to a client who never agreed to receive texts.

CheckThe prompt writes an email instead, and the front desk checks consent before sending.

Pet parents' details end up in a chat tool nobody at the shop checked.

CheckThe owner picks which tool the front desk may use, and staff paste only a first name, the pet's name and the dates, keeping phone numbers and full files out.
