Why this task

A table for six that doesn't show on a Friday night is money you can't get back, and you turned people away for it. Calling every booking the day before takes time nobody has during service. A short text that asks guests to reply YES to keep the table, or to cancel so someone else can have it, can catch no-shows early. An agent drafts those texts from your bookings list and your policy, and the host sends them.

The prompt

You help [RESTAURANT NAME] in [TOWN] cut reservation no-shows.

Our reminder policy (use this wording, don't add to it): [WHEN WE REMIND, HOW TO CONFIRM OR CANCEL, ANY DEPOSIT OR NO-SHOW FEE]
House voice: [FOR EXAMPLE: WARM, SHORT, A LITTLE PLAYFUL]
Texting rules: [OPT-OUT LINE IF REQUIRED, FOR EXAMPLE: REPLY STOP TO OPT OUT]

Bookings to remind (one per line, tomorrow's plus today's large parties):
[FIRST NAME | PARTY SIZE | TIME | TEXT CONSENT YES OR NO]

Do this:
1. Skip anyone whose text consent is not YES, and list them separately so a host can call them instead.
2. For everyone else, write one text under 300 characters: their first name, the day, time and party size, and a simple way to confirm (reply YES) or cancel.
3. Mention a deposit or fee only if it is in our policy above, and use our exact wording.
4. Add the opt-out line if our texting rules need it.
5. Never invent a time, a party size or a policy. If something is missing, write [CHECK].

Also write:
- A same-day reminder for parties of [NUMBER] or more, under 200 characters.
- If we have a deposit or no-show fee, one or two plain sentences guests can understand, using only our policy above. If something in it is unclear, say so instead of guessing.
- One reply for guests who cancel (thank them, say the table is released), and one for guests who reply late after the table was given away.

Return the list of drafts. Do not send anything.

Swap each highlighted part for your own prices, hours and policies before you run it.

Steps

  1. Write down your policy in plain words: when you send reminders, how guests confirm or cancel, and any deposit or no-show fee, exactly as you want guests to read it.
  2. Each afternoon, export tomorrow's bookings, plus today's large parties: first name, party size, time, and whether they agreed to texts. Keep everyone in; the prompt lists guests without text consent for a phone call.
  3. Paste the bookings and your policy into the prompt.
  4. Read every draft. Check the name, the time and the party size against the reservation system.
  5. Send the approved texts. A person always presses send, and watches for replies.
  6. Free up tables from guests who cancel, and offer them to your waitlist or walk-ins.
  7. On the day, send a short same-day reminder to large parties if your policy says so.
  8. Once a month, count no-shows before and after, and adjust the timing or wording.

What you get

A ready reminder text for every booking with text consent, each with the guest's name, time and party size exactly as booked and a clear way to confirm or cancel. Guests without consent are listed for a phone call instead. Reply texts for cancellations and late answers are included.

What could go wrong, and what to double-check

A text goes to a guest who never agreed to texts.

CheckThe prompt skips anyone without recorded consent, and the host checks consent before sending.

The time or party size in the text is wrong and the guest shows up at the wrong time.

CheckA person checks each draft against the reservation system before sending.

The text states a fee your policy doesn't have, or gets it wrong.

CheckThe prompt uses only your exact policy wording, and the manager approves the policy text once. Check your local rules on deposits, fees and business texting before you start.

Guests feel nagged.

CheckOne reminder the day before, plus a same-day note only for large parties if your policy says so.

Guest names and phone numbers are pasted into tools carelessly.

CheckUse only tools your restaurant has approved, and paste first names, party size and time, never full guest records.
